General Purpose of Job:

Responsible for the development of the academic calendar, management of classroom and teaching assignments utilizing scheduling software, assists with academic duties of VA certifications, assists with academic record management.

Essential Functions of Job:

Under the supervision of the Registrar, coordinate, review, and distribute course schedules.

Manage and assign classroom space for courses, meetings, Grand View events and external facility use requests using Ad Astra scheduling software.

Serves as the secondary VA School Certifying Official with duties that may include:

Collecting Certificates of Eligibility and updating benefits in Colleague

Submitting initial term enrollment certifications within the VA Enrollment Manager System

Manages recertifications due to student schedule changes as needed, in coordination with FA/BO

Update AI Portal with programs and classes for Fed TA Students

Reviews grades for end of term processing and reports as necessary

Handles 85/15 reporting for each term to ensure compliance

Annually updates DOD MOU

Annually submits catalog for approval with SAA/VA

Annual Home Base Iowa Reporting

Perform data entry of academic and other student information in Colleague Student system including grade changes, incompletes, and AEA/VESI registrations

Assists with Title IV and non-Title IV coursework for FA eligibility as needed

Assists with Registrar Office communication as directed.

Prepare reports for Provost, Registrar, and academic departments as requested.

Other tasks as assigned.

Qualifications and Requirements:

Bachelor’s degree required

Previous higher education/registrar’s office experience preferred

Previous experience with data processing system – Ellucian Colleague preferred

Proficient in Microsoft Office

Ability to quickly learn new software and technology

Ability to communicate effectively with students, parents, colleagues, and outside agencies.

Skills that are analytical and detail-oriented

Confidentiality is essential

High level of data entry accuracy and quality

Excellent communication skills. Must handle diverse work problems in a positive, professional manner on a daily basis.

Working Conditions:

Approximately 35 hours per week required.

Normal office environment with little exposure to excessive noise, dust, temperature, and the like.

Occasional evening and weekend hours required.
