Job Description
McGill Junge Wealth Management, a rapidly growing comprehensive wealth management team located in Central Iowa, is looking to hire an Executive Assistant to its team. This individual will have the unique opportunity to grow and be part of a premier wealth management team that delivers customized financial planning, wealth accumulation and investment strategies, and retirement distribution planning for our clients. This role serves as an Executive Assistant to partners, which allows the partners to focus their energy on building client relationships, running the business, and driving strategic firm priorities.

Essential Job Functions
General Support:
– Calendar management; mostly business and some personal appts
– Task management – meet weekly and prioritize
– Organize and maintain sensitive files, emails, and documents with utmost confidentiality
– Technology assistance, device assistance (iPhone, iPad, computer) updates, apps, needs, etc.
– Non-client scheduling: business connections, Home Office, firm business scheduling, joint work events/trips, podcast guests
– Committee assistance; scheduling off-sequence meetings, etc.
– Document management and record keeping
– Conduct occasional personal assistant tasks: personal CPA, Atty, etc., meeting registrations, rsvp’s
– Daily Appointment readiness for client and committee meetings (M-F folders)
– Assist partner in meeting business goals; IE: Advisor development (manage tasks, appts etc.)
– Prepare and edit high level correspondence, presentations, and reports
– Oversees management of donor advised funds, matching gift and other philanthropic endeavors
– Book travel for executives including airfare, hotels, ground transportation, etc.
– Manage executive professional development activities including Continuing Education tracking, designation updates, conference registrations, and membership renewals
– Order caricatures or other special gifts as requested for clients, prospects and team members
– Execute drafts of regularly distributed business-related emails to enable advisor delivery
Administrative Leadership:
– Manage office budget and expenses including processing invoices and reimbursements
– Support company event, offsite, and team-building activity planning team as needed
– Manage travel expense consolidation and submission to accountant
– Lead the team in procuring ad hoc gifts at advisor request including adhering to gifting compliance and documenting in gift log
Executive Support:
– Conduct research and prepare briefing materials for executive meetings and presentations
– Analyze and summarize complex documents and reports for executive review
– Manage special projects and initiatives as assigned by the executive
– Coordinate and prepare materials for board meetings, executive committees and other high-level gatherings
– Execute and distribute occasional video messages at the request of
MJWM executive team members:
– Manage executive Linked In communications and connections, as directed, including prospecting and post-event attendee communication as well as new client connection
Education
Bachelor's Degree in Business Administration, Communications, or Related Field
Other Formal Training
- Data management experience and CRM software knowledge
- Advanced Microsoft office proficiency (IE: PowerPoint, Excel and Outlook)
- Completion of Northwestern Mutual Essentials training.
Experience
5+ years experience in executive assistant role, preferably in a similar industry
